Alliance for the Earth (Gaia Mandala) JOB OPENING

Seeking:

Alliance for the Earth (AE) is seeking an Administrative Coordinator/Executive Assistant to oversee financial management and program coordination within the organization. This position will work closely with the Gaia Mandala Guiding Teacher, Cynthia Jurs, and “Hub” team at the center of the Mandala. The role is perfect for someone who believes in the transformative power of sacred activism, works well in collaborative environments, and is inspired to contribute their technical skills, experience and creativity to a work environment inside of evolutionary change. This is a part-time contracted position.

About the Gaia Mandala and Alliance for the Earth (AE):

AE is the nonprofit vehicle that supports the Gaia Mandala Global Healing Community. Our global community is a family of friends who are hearing the call of the Earth to wake up and engage with the great work of our time. We host virtual practice spaces that draw on the Plum Village tradition of Engaged Buddhism as brought forth by the late Thich Nhat Hanh and the Tibetan Buddhist Vajrayana path, but we welcome everyone from different spiritual practice journeys. We also generate in-person retreats and gatherings in different parts of the world.

As our Administrative Coordinator/Executive Assistant, you will manage financial tracking and budget reporting and join a team that is developing new fundraising efforts to help sustain our operations. You will help develop the infrastructure for workflow and communications between practice group leaders, volunteers, and the wider community. You’ll be joining a team deeply committed to both personal practice and to being a “Holy Vessel” for Gaia in these times.

Key Responsibilities:

This is a fully remote position—unless of course you live in Santa Fe, New Mexico!

Financial Tracking, Budget Reconciliation and Reporting

  • In collaboration with bookkeeper and AE Director, organize and track financial tasks including: accounts payable and receivable; tax filings and payments; invoicing; contract review; regular budget reporting and reconciliation, and generating reports for the hub and board.
  • Tending to the requirements for nonprofit legal reporting and compliance.
  • Managing payments and registration for programs and in-person retreats and pilgrimage. Including, developing an equitable payment scale for our retreats that embodies consideration of economic justice, equity, and access needs. Development of a scholarship fund.
  • Evaluate current programming budgets and recommend ways to build capacity.

Tending Donors & Development of New Fundraising Initiatives

  • Collaborate on fundraising activities including annual campaign.
  • Manage donor stewardship communication and year-end appeals.
  • Participate in Finance and Organizational Sustainability working group.
  • Develop and implement new avenues for diversified funding, such as membership campaigns. This includes generating the infrastructure, tracking and administration of these new initiatives.

Administrative Coordination:

  • Create and manage annual workflow calendar across programs and activities.
  • Manage online tools such as google suite, drive and calendar to support remote work functionality across the organization.
  • Manage website updates with tech support, including programming and retreat announcements, gathering interest, retreat and course registrations, annual programming calendar etc.

Executive Assistance to Guiding Teacher:

  • Book Tour Assistant & Teaching Assistant –  scheduling, managing calendar, and help with events and retreats
  • Maintain schedule of regular meetings with Guiding Teacher to stay aligned around priorities and tasks

The ideal candidate should:

  • Have at least 3 years of experience in providing administrative and coordination expertise for program work in the nonprofit sector.
  • Expertise in financial management and legal compliance for nonprofits, and some experience or interest in pursuing fundraising & organizational development
  • Have proficiency in virtual collaborative working software programs, such as Google Docs, or willingness to learn.
  • Demonstrate a willingness to learn and grow alongside our team in decolonial, anti-oppression praxis in the work environment. Is willing to participate in community agreements and horizontal accountability practices in this regard.

Compensation

  • Part-time contracted position, $30/hour. 20-25 hours/week.
